How an external user can initiate a secure message
If we send an encrypted message to an external recipient, they will be responding with the Proofpoint Secure Portal, however if there is a need for the external user to be the initiator of a secure message, the following document will walk through that process.
- Ask the external user to navigate to https://securemail.patriotgis.com/encrypt where they will presented with a login page

If they already have a Proofpoint Secure Portal login (based on receiving an encrypted email from us in the past) they will be able to login. If they do not have an account, they will be asked to register:
Note: If they are registering their account through this process by logging in directly from this URL, there are a few extra steps. After completing the above registration form, the webpage will show the following:
The external user will receive a message in their inbox to activate the account by clicking a link

Once the external user is in the Proofpoint secure portal, they can click the “new message” button to compose a message.
Note: The external user will only be able to email our agencies under the Patriot tenant (ie: they cannot use our system to send a secure message to a gmail.com or yahoo.com account, etc)

This message will be delivered to your Outlook and will display the from address differently with the recipients first and last name, followed by via Proofpoint Secure Message Portal (letting you know it came from the Proofpoint Portal)
IMPORTANT: Proofpoint secure messages initiated by an external recipient have a message size limit of 15MB. If the attachment size is larger than 15MB, the external user will receive an error:
